- Send outreach emails on behalf of our clients from their connected email accounts
- Track email opens, clicks, and replies for performance measurement
- Sync activity data to connected CRM systems (HubSpot, Salesforce)
- Calculate and report on incremental revenue generated and revenue-share earned
- Communicate with you about your account, results, and service updates
- Process payments and manage billing through Stripe
- Comply with legal obligations

We do not use your information for advertising purposes. We do not sell your data to third parties.
5. Email integration and sending
The Sentix platform sends outreach emails on behalf of our clients using their own connected Gmail or Outlook accounts. This means:
- Emails are sent from the client's real email address, not from Sentix
- We access email accounts only to send authorized outreach messages and track responses
- We store OAuth access tokens securely in our database to maintain this connection
- Clients may revoke our access at any time through their Google or Microsoft account settings
- We embed open and click tracking pixels in outreach emails to measure performance
- All outreach emails include an unsubscribe mechanism and we honor all opt-out requests immediately
Our use of Google and Microsoft user data obtained through OAuth is limited to providing the email sending and tracking features described above. We do not use this data for advertising or share it with any third parties beyond what is described in this policy.
6. CRM integration
When clients connect their HubSpot or Salesforce account, Sentix writes outreach activity data to their CRM including:
- Contact records and engagement history
- Email send, open, click, and reply events
- AI lead scores and sequence status
- Meeting bookings and opportunity records
- Revenue share tracking data
We access CRM accounts only to write this activity data. We do not read, export, or use any pre-existing CRM data beyond what is necessary to match records. Clients may disconnect their CRM at any time from their account settings.
7. Data retention
We retain your information for as long as your account is active or as needed to provide services. Specifically:
- Account data is retained for the duration of your client relationship plus 12 months
- Prospect and outreach data is retained for 24 months after the last activity
- Revenue and billing records are retained for 7 years as required by law
- Application and audit request data is retained for 6 months if you do not become a client

8. Security
We implement industry-standard security measures to protect your information:
- All data transmitted between your browser and our servers is encrypted using TLS/SSL
- Database access is restricted to authenticated services only

- We use Clerk for authentication, which provides secure passwordless login
- Access to production systems is limited to authorized personnel only
